Electronic Voting
The Base Fee includes the following for electronic voting:
Serve as the Inspector of Election for one election
Coordinate with community manager or designated Association contact person on election setup, status, notices, reminders, changes, reconvened dates, etc.
Load election information into the electronic voting system.
No set-up fees! We provide the upload template.
Got a logo? We can brand emails with your logo.
Establish election timeline and provide an "election status" page to Manager/Board with real-time election information
Email standardized notice to members with instructions on how to electronically update their voting preference, confirm their access to the electronic voting system and update their primary email address. (This voter preference notice must be mailed if the Member does not provide a valid email address.) **
Email standardized call for candidates notice and receive candidate submissions electronically through our designated platform. **
Email standardized 60-day pre-ballot notice. **
Email reconvened meeting notices (if needed). **
Post electronic notice of meeting, candidate biographies and election rules on an election-specific page or post a link to your website if you prefer.
Email standardized voting instructions on how to access and use the electronic voting system along with a unique voting link to access an electronic ballot for each unit that is voting electronically.
Email multiple "reminder to vote" notices during the voting period.
Receive electronic secret ballots from electronic voters and written secret ballots from non-electronic voters.
Count and tabulate votes at a virtual open meeting by Zoom, Google Meet, Microsoft Teams and report results.
**There is a separate mailing cost for each individual notice that is mailed and for each ballot package that is mailed via USPS first class mail.
The call for candidates (when not election by acclamation), 60-day preballot notice and any reconvened meeting notices require only general notice to the Members, but we can mail individual notice if preferred.

ELECTRONIC VOTING SAVES TIME AND MONEY
Using electronic voting can save your community money on the cost of mailing ballot packages and notices - save $4.50/unit or more vs using written ballots.
Written Ballot Voting
The Base Fee includes the following for written ballot voting:
Serve as the Inspector of Election for one election
Coordinate with community manager or designated Association contact person on election setup, status, notices, reminders, changes, reconvened dates, etc.
Receive written secret ballots at our designated address.
Count and tabulate votes at a virtual open meeting by Zoom, Google Meet, Microsoft Teams and report results.
Mail ballot packages by USPS first class mail .**
We can mail the ballot packages or the Association can mail them - your choice. The cost for us to mail the ballot packages is listed in the Mailing Costs section below.
We can also email or mail the following general notices. **
Send Call for Candidates notice and receive candidate submissions electronically through our platform. **
Send 60-day pre-ballot notice. **
Send reconvened meeting notices (if needed). **

Election by Acclamation
Election by acclamation requires providing Members two (2) separate individual Call for Candidates notices during a 90-day candidate nomination period.
The cost will depend on the number of individual notices that need to be mailed via USPS mail, plus a separate base fee. We include emailing individual notices in the base fee (no extra mailing costs if all Members have a valid email address on file!)
If there are more candidates that open seats at the end of nomination period, the Association will continue with a balloted election by either electronic ballot or written ballot.

**Mailing Costs for Written Ballots and Mailed Notices
Mail ballot packages - $4.50/unit, including two ballot envelopes, one standard system-generated ballot, and up to five additional pages, printed double-sided, black and white copies. Extra pages and additional postage are calculated separately when there is a larger ballot package to be mailed.
Return postage on ballot envelopes - $0.90/unit
Mail individual notice - $2.50/unit per notice, using standard system-generated notices up to 2 pages each, printed double-sided, black and white copies.
Customized electronic ballots, customized emails, and/or customized mailing pieces, including mailing text of governing document for votes to amend governing documents - varies
Mailing costs are separate and not included in the Base Fees.

Base Fees for electronic and written ballot elections:
$200 up to 20 units
$250 for 21 to 50 units
$300 for 51 to 150 units
$350 for 151 to 300 units
$400 for 301 to 500 units
